The human layer: where the yes happens
Automation gets the call answered. A trained person gets the patient admitted, the family moved in, the treatment plan accepted. We structure that team, train it in Care Conversations and hold it to a daily scoreboard.
What breaks without it
The people who call have usually already decided.
The people who call have usually already decided. A man has read the treatment center's admissions page again and again before he dials; a daughter has known for months that her mother is not safe at home. What stops them is fear, cost anxiety, a spouse who is not ready and every logistical reason to wait one more week. Untrained staff let them go. The numbers show it: in addiction recovery, paid search converts at 0.50%, the lowest of sixteen specialties (LocaliQ, 2026); in dentistry, 68% of calls are answered and 42% of those book (Peerlogic, 2026); in senior living, inquiry-to-tour runs 25 to 30% and tour-to-move-in 29 to 34% (USR Engage, 2026).
No software fixes this. An admissions coordinator who hears "I need to think about it" and says "of course," a sales director who tours without a discovery call — each is a training problem, and most groups have never trained for it, recorded the calls, or measured the outcome by the person who took the call.
What we install
The staff are yours — trained and coached by us. When a seat is empty, we help you hire and train for it.
A tiered structure for your team
Your people organized the way a high-performing admissions department is: qualifiers who answer, discover and score; schedulers who book and confirm; closers who own the second conversation — the tour, the treatment plan, the verification of benefits, the family call — and are measured on the yes.
Care Conversations
Our training protocol: the conversation skills that help people say yes to care they already know they need. Six modules — Discovery, Rapport and Pacing, Sensory Language, Structured Responses to Fear and Objection, Family and Collateral Decision-Makers, and Acute-Moment Language for behavioral health only — delivered through a 30-day onboarding, weekly call review and role-play twice a week. Full curriculum at Care Conversations; our published rules at How we sell.
The objection library
Tested responses to the objections your callers actually raise — "I can't afford it," "my husband isn't ready," "do you take my plan" — rehearsed until they sound natural, and retired when the data says they have stopped working.
Accountability
A short list of metrics per role — speed to first response, connection rate, booking or admission rate, follow-up on every unbooked caller, show rate — with real-time visibility and a coaching trigger for each. A call that converts by breaking a rule counts as a failure.
The daily standup
The thirty-minute meeting we call the Meeting of the Kings in behavioral health, where the numbers, the pipeline, the stalled families and the calls that need coaching are reviewed in the open and coaching is delivered the same day.
The depth behind the module names
Care Conversations is a written curriculum, not a slide deck: 37 sections in five parts, built around S.P.I.N. as its core engine and bounded by the six rules we sell by. The 30-day onboarding is a gate — no one takes a high-value call before completing it — and every specialist carries a baseline skills rating, re-checked from recorded calls as the coaching cadence runs. The Care Conversations page shows the five parts and the four levels of selling — including the level most departments are honestly at today.

How it connects to the other stages
Conversion is the stage the others exist to feed. Demand and Relationships produce the inquiries; the 60-second door answers them and hands them to a trained person; Data attributes that person's outcome to the campaign, the source and the rep. What the closer learns on the phone feeds ad copy and the Retention program. This is the stage no software vendor and no media agency can sell you. We are a healthcare growth firm built in the hardest patient-acquisition market in medicine — addiction and behavioral-health treatment, through our behavioral health practice, Recovery Marketing Consultants — and we install the same engine across healthcare because the mechanics transfer. Ask us to show you a call.

We will audit the door, the phone and the pipeline across every location, model the uplift available in your markets, and outline the 90-day path to installing the engine.
